Choose a plan and what happens if you go over

How attendee limits work, which tickets count, the grace margin over your limit, and how to upgrade without losing what you paid.

Badgetrac is priced per event, by the number of active attendees. Every event starts on the Free plan. Every paid plan includes unlimited exhibitors, with no per-exhibitor, per-scan or per-lead fees.

Some features need a bigger plan: self check-in kiosk, session check-in, floor plans and the exhibitor checklist start at Growth, and exhibitor CRM push at Pro. Badge proofs and attendee emails need any paid plan. Starter events can add event-day priority support for $149. See pricing for the full list.

Pick the right plan

  1. Step 1: Count your attendees

    Estimate how many active attendees you'll have, including walk-ins and exhibitor staff badges. Cancelled and refunded tickets don't count.

  2. Step 2: Open the plan picker

    Open your event's Event settings and find Plan & billing.

  3. Step 3: Choose the smallest plan that fits

    Pick a plan whose attendee limit covers your count. Plans too small for your current attendees aren't offered.

  4. Step 4: Pay

    Click Continue to secure checkout and pay by card. You'll get a receipt by email. If you go over later, you have 10% grace and can upgrade for the difference.

Who counts toward the limit

  • Counted: every active attendee: Eventbrite registrations, CSV imports, walk-ins and exhibitor staff badges.
  • Not counted: cancelled and refunded tickets, and exhibitors themselves.

What happens if you go over

Late registrations happen. Badgetrac warns you early and doesn't lock you out at the first extra attendee:

  1. At 80% of your limit, the plan card suggests upgrading before event day.
  2. Over the limit, a paid event keeps working for up to 10% more attendees. For example, a 250-attendee plan keeps working up to 275 attendees.
  3. Past the grace margin, badge printing (at every desk, the kiosk and volunteer stations), attendee exports, the backup list and new walk-ins pause until you upgrade.

The Free plan has no grace margin: printing pauses above 75 attendees.

Exhibitors are never locked out of a paid event. Even if your event is over its limit, exhibitors keep scanning and exporting their own leads, so a billing issue never breaks a sponsor's booth.

Upgrading costs only the difference

When you move up a plan, you pay the new plan's price minus what you've already paid for this event. Moving from Starter ($399) to Growth ($799) costs the gap between the two. Plans only go up; there are no downgrades. See Upgrade an event to a bigger plan.
